Event Workspace Automation

- User Research : Captured user needs through direct interaction with the training administration team
- Tested design hypotheses and iterated mockups based on feedback
- Coordinated the testing phase to ensure smooth deployment to production
- Created high-fidelity mockups aligned with the ServiceNow Design System
- Produced user documentation and guides for end users
Problem & Context
Over the last two years, the internal training offer has tripled, creating a heavy administrative workload. Administrative staff were spending excessive time on tasks that could be automated.
The existing ServiceNow module « Event Workspace » was used, but manual processes across multiple databases, Excel sheets, and Word documents were highly inefficient. The goal was to streamline and automate these workflows while maintaining control over the process.
Process
1. User Research
- Interviews and workshops with the training administration team
- Observation of current workflows to identify pain points and opportunities for automation
2. UX / UI Design
- Created low-fi and high-fi Figma mockups using Horizon, the ServiceNow design system
- Iterated designs based on feedback
- Ensured feasibility by collaborating closely with ServiceNow developers
3. User Testing & Deployment
- Coordinated end-user testing
- Collected qualitative feedback and iterated mockups before release
- Supported developers during final deployment to production

- Fully deployed enhanced ServiceNow workspace with automated workflows
- User guides in the Knowledge Base
- Positive feedback from users highlighting significant time savings
